POSITION: Project Manager | Project Architect
POSITION DESCRIPTION
The Project Manager is responsible for overseeing and managing the successful delivery of architectural projects from inception to completion. This position requires a professional to lead and manage a project with a strong eye for detail, and good leadership skills. The Project Manager will collaborate closely with project directors, creative directors, engineers, and other stakeholders to ensure projects are completed on time, within budget, and to the highest quality standards. Able to handle the multiple projects of the largest magnitude with support and guidance from Project Directors.
Licensed Project Managers will be referred to as Project Architects.
RESPONSIBILITIES
Design & Project Duties:
- Project Management: Oversee multiple project deadlines including deliverables, scheduling, and major client correspondence. Ensure timely completion of project milestones.
- Client Relations: Collaborate with clients to understand their needs, address concerns, and provide regular updates on project status and progress. Act as main point of contact for the client to minimize confusion and conflicting information, gaining advisement from Project Directors / Partners when challenges arise and does so with impeccable discretion.
- Workflow Adherence: Ensure adherence to workflow management processes within the project.
- Resource Planning: With support from Project Directors, for responsible resource planning and designer hours allocation to optimize project efficiency.
- Project Planning & Coordination: Estimate scope of work. Develop and maintain project schedules, budgets, and resource allocation plans with advisement of Project Directors. Coordinate and communicate with project team members, subcontractors, and vendors to ensure timely completion of project deliverables.
- Project Monitoring: Monitor project progress and performance, identify risks and issues, and implement effective mitigation strategies. Monitor and ensure adherence to project budget and client expectations. Review bid analysis and project budgets with Project Directors. Collaborate with project team, clients, and bidders for financial planning and cost management strategies. Collaborate with ID and Landscape Architecture effectively, ensuring project plans are aligning to create a positive client experience without sacrificing the integrity of the project.
- Technical QA/QC: Ensure compliance with project requirements, building codes, regulations, and industry standards. Manage quality assurance and quality control for projects. Review drawings and design documents to ensure accuracy, compliance, and inclusion of necessary details. Escalate or seeks advisement from senior peers and/or Directors as needed.
- Project Site Visits: Attend project sites for quality control purposes. Provide guidance, support, and technical expertise for project success. Collaborate with ID, LA, and Directors for division-specific improvements.
- Data Fidelity and Documentation: Use all design and communication software in accordance with Strang standards. Utilize standardized templates and documentation practices as trained and intended. Maintain up-to-date project files, records, and documentation in accordance with company policies and procedures. Review necessary documentation from less experienced team members as needed, ensuring information is correct, aligned, and minimizes risk.
- Delegating and Drawing: Delegate, redline, and draw architectural details as needed to support project requirements and ensure design integrity.
- Contract Adherence: Know, understand, communicate, and manage the team to adherence of project contract stipulations.
- Studio and Team Meetings: Participate in all internal meetings and trainings. Limit multi-tasking and remaining engaged to be able to act on or refer to information provided in these spaces.
Financial Operations:
- Budget Management: Actively manages project budgets, expenses, and financial performance to ensure projects are completed within budget constraints. Identify opportunities to optimize project costs and resource utilization while maintaining quality standards. Works with Project Directors as needed.
- Administrative Duties: Review and approve project invoices, change orders, and other financial documents by deadlines provided. Ensure accurate and timely completion of all administrative tasks related to finance, including time-tracking, expense documentation, and budget management.
People Operations:
- Emotionally Intelligent Management: Foster a collaborative and inclusive team culture that values diversity and encourages open communication, skill building, and knowledge sharing. Navigates conflict professionally with minimal negative impact to a project.
- Effective Team Communication: Work closely with project directors, architects, engineers, and other stakeholders to develop project plans and strategies. Facilitate effective communication and collaboration among project team members to ensure alignment on project goals and objectives.
- Training and Development: Foster development of less experienced staff through mentoring, onboarding, and continued professional growth. Collaborate with division director on training opportunities and suggestions.
- Effective Delegation: Effectively delegates tasks to designers and junior project managers through thoughtful and pro-active planning, ensuring alignment with project goals and objectives.
- Performance Management: Manage teams and provide people support, including conflict resolution, performance improvement plans, and annual performance reviews.
- Leadership Presence: Able to influence teams through respect and trust. Acts as a role model of company values, upholding policies and procedures. Makes their best effort to keep in mind the best interest for the greater organization when making and communicating decisions.
Marketing & Public Relations
- Brand Ambassador: Promote the company’s brand and image during AIA events, conferences, vendor meetings, and other events. Adhere to social media guidelines when sharing information on social platforms.
Risk Management
- Risk Mitigation: Identify potential issues that could impact project outcomes and proactively address them to mitigate risks.
- Information Reporting: Report issues that could result in potential legal circumstances.
- Responsible Communication: Documents incidents, decisions, and information appropriately and professionally throughout the project. Able to handle legal inquiries responsibly with tact, professionalism, and confidence in their decision-making.
Organizational Leadership
- Decision-Making:Make decisions regarding projects and organizational initiatives that align to partner vision and organizational values and principles
QUALIFICATIONS
- Bachelor's or Master's degree in Architecture, Engineering, Construction Management, or a related field.
- 2+ years of experience in project management, with a focus on architectural projects.
- Effective project management skills, including the ability to develop and manage project schedules, budgets, and resource plans.
- Effective leadership skills, with the ability to effectively lead and motivate project teams.
- Effective communication skills with ability to present with confidence and provide complex information in an easy-to-understand manner.
- Experience working with clients, subcontractors, and vendors to deliver successful projects on time and within budget.
- Proficiency in REVIT, Adobe suite, Microsoft Suite. Experience using Deltek Vantagepoint a plus.
