Overview:
The SharePoint Administrator will play an instrumental role in growing an in-house IT team to support all Trumark employees. The successful candidate will bring at least 5 years of experience in designing, implementing, and maintaining Microsoft SharePoint (SPO), as well as exposure to other Microsoft 365 technologies such as Power Apps, Entra, Teams, One-Drive, and Exchange.
Reporting to the IT Manager, the SharePoint Administrator will work directly with various business users to manage all day-to-day SharePoint activities. The primary initial focus of this position will be to plan and execute SharePoint migrations from on-prem file shares to SPO. This position will also provide subject matter expertise with regards to SharePoint and its use as a file storage solution as Trumark transitions away from on-prem file shares. This includes leveraging workflows and PowerApps to create custom solutions tailored to meet specific requirements. This position will be the primary resource to respond to project requests, enhancement requests, and SPO issues.
Essential Duties:
- Plan and execute the migrations of existing on-prem file shares to SharePoint Online
- Work closely with key stakeholders and the Risk team to implement Risk and Document Management and Retention Policies (data classification, tagging, etc.)
- Work with divisions and departments to build out robust Document Management solution in SharePoint Online, using custom workflows and automations
- Perform standard SharePoint Site Collection administration tasks such as creating and managing sites, libraries, lists, and workflows
- Produce reports on data stored in SharePoint (e.g. duplicates, externally shared, old\orphaned, permissions, etc.)
- Manage access to document libraries using (on-prem) Active Directory and MS Entra groups
- Create documentation, user guides, and training materials, and provide training to users
- Leverage PowerShell, Power Automate, and other technologies to automate tasks
- Act as an escalation point for other IT team members for advanced SPO issues
- Stay up to date with the latest Microsoft 365 technologies and provide recommendations to improve services.
- Conduct regular security assessments to strengthen data protection and ensure compliance with company policies.
- Document all changes, issues, and resolution in the helpdesk ticketing system.
- Plan and execute discovery and migration activities during future M&A integrations
- Help users understand the capabilities of SharePoint so they can engage IT when they identify a problem that could be solved using SharePoint
- Implement legal holds as needed at the direction of Risk / IT Manager
- Other responsibilities or projects as assigned by the IT Manager.
Education and Additional Requirements:
- Position is on-site at our San Ramon, CA location
- Minimum of 5 years of solid experience required in customizing and managing Microsoft SharePoint (required)
- Minimum 3 years of experience with MS Power Platform (required)
- Ability to utilize relevant programming and scripting languages to customize SharePoint, such as .NET, JavaScript, Python, PowerShell, CSS/HTML, etc. (required)
- Overnight travel out of state is periodically required
- Easy access to a vehicle for local travel is periodically required
- Related Microsoft certifications are a plus
