We are seeking a highly organized and detail-oriented Administrator to join our Standards & Engineering team. The Administrator will play a critical role in the daily support operations of the Standards & Engineering department. Reporting directly to the Senior Administrative Manager, this individual will provide hands-on administrative and customer support for Standards committees and member accounts. The ideal candidate is organized, proactive, and customer-focused with strong communication and technical skills.
Responsibilities include:
- Maintain open, ongoing communication with the Senior Manager regarding administrative assignments.
- Generate and issue certificates to committee members.
- Create, update, and maintain committee accounts and individual member profiles.
- Perform system maintenance for assigned committees and member accounts.
- Process membership requests submitted by technical staff.
- Manage the reservation log and schedule projector shipments.
- Submit Service Now tickets related to:
- Publication memorandums needing updates on ASME.org.
- Administrative support and system maintenance.
- Coordinate reproduction shipments.
- Schedule and facilitate Zoom meetings for virtual committee conferences.
- Respond to and process all incoming calls and voicemails related to Standards.
- Assist with resolving member and customer inquiries.
- Maintain electronic filing systems for all customers and internal email communications.
- Track tasks using the assigned responsibility matrix for reporting purposes.
- Verify applications for new companies and renewals; assess compliance with ASME requirements and assign for processing.
- Order office supplies for technical staff.
- Perform other duties or special projects as assigned by the Senior Manager.
The ideal candidate must have a minimum of 5 years of administrative, communications, and database entry experience. Candidate must also have:
- Proven ability to prioritize tasks, troubleshooting issues, and maintain smooth operations for customer accounts.
- Excellent communication skills—both verbal and written.
- Ability to work independently and take initiative.
- Strong listening and follow-up skills to provide thorough customer resolutions.
- Experience handling sensitive or technical communications is a plus.
In addition, candidates must be proficient in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint), SharePoint, Adobe Acrobat and Zoom for video conferences and internal instant messaging. Experience with basic data entry and CRM/database system or other customer relationship management software.

Annual base salary may vary based on geographic location. The New York City metro, New Jersey, and Washington DC salary range for this position is estimated to be between $51,000 – 55,000 per year.
