The Executive Administrator position provides daily administrative support to Visa’s Chief Communications Officer (CCO) and other senior executives on the Global Communications team. The role demands attention to detail and the ability to juggle a range of responsibilities. Our leaders are looking for someone who is a proactive problem solver with a client-first mindset with the ability to adapt to the team’s needs and interface with senior leaders at Visa. The ideal candidate is highly polished, professional, and possesses excellent communication and organizational skills.
This is an individual contributor role with a primary focus on executive and team support. It is at a professional level and receives a moderate level of guidance and supervision.
Key Responsibilities
- Calendar Management: Actively manage the calendar of the Chief Communications Officer. In addition to scheduling and coordinating logistics for meetings, anticipate and prioritize scheduling needs based on CCO’s deadlines and deliverables.
- Travel & Events Coordination: Coordinate travel logistics (including flights, lodging, visas, travel documents, etc.) and support planning of events and meetings. Organize and support executive meetings, including preparing agendas, taking minutes, and following up on action items.
- Expense Management: Process expense reports on behalf of the Chief Communications Officer & other internal clients as requested.
- Administrative Support: Administrative duties include and are not limited to: managing in-office requests (workspace, facilities needs and IT requests), drafting correspondence, proofreading and formatting business documents or broad communications, printing documents and preparing notes, directing inquiries and information to and from stakeholders, and working on special projects within the Office of the CCO.
- Prepare and edit correspondence, reports, and presentations.
- Maintain confidential and sensitive information with discretion.
- Handle incoming inquiries and requests, ensuring they are addressed in a timely and professional manner.
- Perform general office duties, including filing, copying, and ordering supplies.
This is a hybrid position. Hybrid employees can alternate time between both remote and office. Employees in hybrid roles are expected to work from the office 2-3 set days a week (determined by leadership/site), with a general guidepost of being in the office 50% or more of the time based on business needs.
Qualifications
Basic Qualifications
- Minimum of 6 months of work experience or a Bachelor's Degree
Preferred Qualifications
- 2 or more years of work experience
- Proven experience as an executive assistant or other relevant administrative support or project management experience
- Strong verbal and written communication skills and ability to communicate effectively with all levels within an organization
- A positive attitude and excellent interpersonal communication skills
- Ability to perform and prioritize multiple tasks with attention to detail
- Operate effectively and efficiently in a fast-paced environment with little supervision
- Solutions-oriented with the ability to work collaboratively with others
- Excellent verbal and written communication skills.

Work Hours: Varies upon the needs of the department.
Travel Requirements: This position requires travel 5-10% of the time.
Mental/Physical Requirements: This position will be performed in an office setting. The position will require the incumbent to sit and stand at a desk, communicate in person and by telephone, frequently operate standard office equipment, such as telephones and computers.

U.S. APPLICANTS ONLY: The estimated salary range for a new hire into this position is 74,400.00 to 105,250.00 USD per year, which may include potential sales incentive payments (if applicable). Salary may vary depending on job-related factors which may include knowledge, skills, experience, and location. In addition, this position may be eligible for bonus and equity.
