Position Summary
Theprofessional is responsible for providing exceptional service to foundation guests, both in person and via phone and email. This role also involves collaborating with building and security staff to ensure guest safety and the implementation of related policies and procedures.
Essential Job Functions
Community Services:
- Manage a multi-line switchboard and accurately direct incoming calls in a fast-paced environment to facilitate efficient communication.
- Serve as the first point of contact for visitors, greeting guests and vendors courteously and promptly to ensure the foundation is well represented.
- Administer the web-based visitor management system; assist staff and guests, monitor visitor invites and sign-ins, liaise with the system vendor, and resolve system issues.
- Respond to general inquiries and provide accurate information about the Midtown Collaboration Center and its programs and amenities.
- Monitor, update, and troubleshoot reception technologies and equipment to ensure availability.
- Train and support the reception relief team, maintaining accurate training and reference materials.
- Support The Sixty6 recording studio, including scheduling, equipment demonstrations, and coordinating with external studio engineers.
Safety & Security:
- Monitor visitor access in accordance with reception and security procedures. Communicate security breaches or incidents to management promptly and, if necessary, notify building security and emergency services.
- Collaboratively test reception security procedures and report outcomes to management.
Front Desk & Operations Team Support:
- Monitor building operations and guest services requests. Address daily service and supply requests to ensure organizational productivity.
- Coordinate and track deliveries, ensuring accurate records and budget adherence.
- Process invoices for approval through the accounts payable workflow.
- Manage access credentials for various technologies in line with cybersecurity policies.
- Inventory and replenish reception and kiosk supplies.
- Identify new methods to enhance efficiency, productivity, safety, and security.
- Maintain an accurate staff roster and important contact numbers.
- Provide project and facility management support as approved by the BOGS Director.
- Support The Sixty6 recording studio operations, including scheduling and equipment demonstrations.
Physical Demands/Working Conditions
- In-person 5-days a week
- Typical professional office environment.
Required Qualifications
Education, Training, and Experience
- High school diploma or GED (other credentials are welcomed).
- 3-6 years of receptionist experience, including switchboard operation and customer service. Experience with safety and security staff is helpful.
- Proficiency in Microsoft Word, Excel, PowerPoint, Teams, and Outlook.
- Basic proficiency in web-based programs and applications.
- Willingness to learn and become proficient in new technology platforms.
