Summary of Position:
Spy Ego Media, LLC is looking for a seasoned Project Coordinator to join our team and help deliver successful projects within specified timelines. With over two years of experience in project coordination and a strong background in the construction industry, you will be instrumental in providing essential support to our project managers and teams. This role involves a mix of home office work and on-site visits, requiring a reliable mode of transportation for travel throughout Montana to various job sites.
Responsibilities:
Support to Project Managers: Assist project managers in all project phases by coordinating schedules, documentation, inspections, and communications to ensure projects are completed on time and within scope and budget.
Site Visits: Conduct site visits to inspect and document progress through photos and written reports. Ensure project quality standards are maintained, and any issues are quickly resolved.
Billing & Reporting: Analyze project billing to ensure accuracy, create project progress reports, and maintain comprehensive records.
Scheduling & Coordination: Work with project managers, crew members, clients, and internal departments to assist in the creation of project schedules. Resolve scheduling conflicts and resource shortages.
Interdepartmental Collaboration: Serve as a liaison between project management and Human Resources, Payroll, and Accounting to streamline processes and resolve issues.
Documentation Management: Keep project documentation up to date, including contracts, schedules, reports, and correspondence.
Communication & Negotiation: Maintain strong lines of communication with all stakeholders, both internally and externally. Negotiate resource allocations, deadlines, and project changes effectively.
Continuous Improvement: Contribute to process improvements and recommend best practices to enhance project coordination efficiency.
Experience & Education Requirements:
- 2+ years of project coordination experience, particularly in the construction industry.
- Strong communication and negotiation skills, both verbal and written.
- Proficiency in Microsoft Office and project management software.
- Experience with inspections, documentation, and photo management.
- Ability to multitask and pay close attention to detail.
- Reliable transportation and the ability to travel to job sites throughout Montana.
- Familiarity with construction and fiber communication projects is highly preferred.

Additional Hiring Requirements:
- This position will primarily be Monday through Friday and 40 hours a week, however the successful candidate should be able to work a flexible schedule, over-time, or on occasional weekends as needed.
- Must be able to travel throughout various locations throughout Montana and possibly in/out of state with some overnight stays as necessary.
- Must be able to pass a drug screen and criminal background check.
- Must possess a valid driver’s license for the state in which you reside.
- Verifying your legal right to work in the United States under the Immigration Reform and Control Act of 1986 (IRCA).
Physical Demands:
- Prolonged periods sitting at a desk and working on a computer.
- Using hands and fingers to operate a computer, telephone, and keyboard.
- Close vision requirements due to computer work.
- Ability to walk, sit, stand, bend, twist, stoop, push, pull, carry, and lift as needed.
- Ability to coordinate eyes, hands, feet, and limbs in performing skilled movement.
