The TMX GES PMO governs the project management practice within an environment that drives multiple projects across a diverse set of portfolios (SDLC, Infrastructure and integration of 3rd party products). We achieve excellence and quality in delivery to our customers by standardizing our services and consolidating project oversight for project performance metrics. The PMO's aim is to improve project performance by setting standards and reducing costs. This is achieved by minimizing project overhead, eliminating process duplications, and improving our project management skills and expertise. PMO educates our PMs on TMX PM practices and ensures that they fully understand and complete upon the expectations of the role.
The Senior Project Control Officer is responsible for aiding in the planning, delivery, and execution of projects for the entire delivery life cycle, while adhering to TMX standards and established guidelines. The Senior Project Control Officer assists the Project Managers to ensure that projects are delivered on time, on budget, with good quality while making certain clients are put first. The Senior Project Control Officer leads the continuous evolution and streamlining of PMO project governance processes, reporting, tooling, best-practices and standards.
This role assists with TMX PTI projects and manages project plans, sends out meeting invites, coordinates events and handles the project and program risks, action, issues and decisions.
Key Accountabilities:
Project Monitoring, Reporting, and Documentation
Prepare project status reports (daily, weekly, or ad hoc).
Track action items, milestones, and risks.
Document meeting minutes, decisions, and follow-ups to ensure accountability.
Maintain risk registers, issue logs, and project plans (e.g., Gantt charts, trackers).
Coordination and Stakeholder Management
Schedule and manage meetings with stakeholders (internal teams, banks, TMX, Clearstream, etc.).
Follow up on deliverables, decisions, and outstanding tasks.
Ensure alignment across teams and clarifying dependencies.
Risk and Issue Management
Identify, track, and escalate risks or issues proactively.
Collaborate with teams to determine mitigations and resolve blockers.
Prepare risk updates for leadership and PM calls.
Reporting and Metrics
Create dashboards and metrics to provide transparency on project health.
Update project KPIs (e.g., % completion, testing progress, outstanding issues).
Supporting Process Improvements
Identify areas for process improvement (e.g., onboarding, testing workflows).
Document lessons learned to improve future project delivery.
Administrative Tasks
Organize project files, updating shared resources (e.g., SharePoint, Confluence).
Manage project calendars and placeholders for key meetings.
Must haves:
Project and Program coordination & governance skills, strong financial knowledge to assist manage updates, organizational and problem-solving skills, strong communication, ability to build and manage project documentation, technical proficiency in project tools, adaptability and proactiveness.
3-5 years of being a PCO in the financial industry.
